Terms & Conditions
By engaging Elite Expeditions, LLC (hereinafter referred to as “Elite Expeditions”) to provide planning, advisory, booking, or relate service, you (Client) agree to the following terms:
Scope of Services
Elite Expeditions provides travel planning, research, booking support, itinerary design, supplier coordination, and related advisory services as agreed with Client. Services may include, but are not limited to, arranging accommodations, flights, cruises, tours, transfers, travel protection options, and destination guidance.
Elite Expeditions acts as an intermediary between Client and third-party travel suppliers.
Planning and Service Fees
Client agrees to pay the consultation, planning, management, ticketing, and/or service fees communicated by Elite Expeditions before work begins.
Unless otherwise stated in writing:
All planning and service fees are non-refundable.
Fees are charged for Elite Expeditions’ professional time, expertise, research, and administrative work.
Fees are separate from the cost of the travel products purchased from suppliers.
Additional services outside the original scope may incur additional fees.
Commission Disclosure
Client understands and agrees that Elite Expeditions may receive commissions, incentives, or other compensation from hotels, cruise lines, tour operators, insurance providers, transportation companies, or other travel suppliers in connection with Client’s travel arrangements.
Such compensation does not replace any agreed planning or service fees unless explicitly stated in writing.
Deposits and Final Payments
Travel arrangements may require deposits and final payments according to supplier terms and deadlines.
Client understands and agrees that:
Pricing is not guaranteed until confirmed by the supplier and paid as required.
Failure to make payments by stated deadlines may result in cancellation, loss of space, fare changes, or supplier-imposed penalties.
Elite Expeditions is not responsible for supplier cancellation due to missed payment deadlines.
Price Changes and Availability
Travel pricing and availability are dynamic and may change at any time until booked and confirmed.
Elite Expeditions does not guarantee the availability of any fare, room category, cabin category, package, promotion, or supplier offer until confirmed by the supplier.
Revisions and Changes
Elite Expeditions’ planning fee includes only the number of itinerary provisions, proposals, or updates specified at the time of engagement, if any.
Any additional changes, rebookings, exchanges, reissues, or itinerary redesign requested by Client may be subject to additional service fees.
Cancellations and Refunds
If Client cancels travel arrangements, refunds, credits, or future travel funds are subject solely to the terms and conditions of the applicable supplier.
Elite Expeditions planning and service fees are non-refundable once work has begun.
Elite Expeditions is not responsible for any supplier penalties, non-refundable deposits, expiration of credits, or denial of refund by any supplier.
Travel Documents and client Responsibility
Client is solely responsible for obtaining and carrying all required travel documents, including, but not limited to:
Valid passports
Visas
Entry permits
Identification
Health documentation
Vaccination records
Parental consent documents, if applicable.
Client is responsible for verifying the accuracy of all names, dates, and travel details immediately upon receipt of confirmation and documents.
Elite Expeditions is not responsible for costs, losses, or delays resulting from incorrect traveler information, inadequate documentation, or failure to meet entry requirements.
Travel Insurance/Travel Protection
Elite Expeditions strongly recommends the purchase of travel insurance and/or travel protection coverage.
If Client declines travel protection, Client acknowledges understanding that cancellation penalties, travel delays, medical expenses, baggage loss, and other disruptions may not be covered.
Elite Expeditions is not an insurer and does not guarantee the scope, adequacy, or outcome of any insurance claim.
Supplier Responsibility
Elite Expeditions is not the provider of transportation, lodging, insurance, tours, or other travel services purchased cy Client. These services are supplied by independent third-party suppliers.
Elite Expeditions is not liable for any injury, damage, loss, accident, delay, inconvenience, overbooking, cancellation, strike, weather event, mechanical failure, bankruptcy, act of terrorism, public health event governmental action, or other act of omission by any supplier or third party.
Force Majeure
Elite Expeditions shall not be liable for failure or delay in performance resulting from causes beyond its reasonable control, including but not limited to natural disasters, severe weather, fire, flood, earthquake, war, terrorism, civil unrest, labor dispute, disease outbreak, epidemic, pandemic, quarantine, border closure, governmental action, or transportation disruption.
In such events, all refunds, credits, rebooking options, and supplier remedies shall be governed by the terms of the travel supplier.
Elite Expedition as Intermediary
Client understands that Elite Expeditions serves solely as a seller of travel and intermediary for third-party travel services. Elite Expeditions does not control and is not responsible for the acts, omissions, policies, financial condition, or service failures of any supplier.
Accuracy of Information
Client is responsible for providing complete and accurate traveler information, including legal names exactly as they appear on government-issued identification or passports.
Any costs arising from incorrect information provided by Client, including change fees, reissue fees, or denied boarding, are Client’s responsibility.
Payment Authorization
By submitting payment information, Client authorizes Elite Expeditions to charge the approved planning fees and, where authorized, supplier deposits, balances, ticketing charges, or approved service fees.
Chargebacks made in bad faith for validly disclosed fees or authorized supplier charges may constitute breach of this Agreement.
Electronic Communications
Client agrees that electronic communications, including email, invoices, payment links, proposals, confirmations, and electronic signatures, satisfy any legal requirement that such communications be in writing.
Consent to Terms
By paying any planning fee, deposit, or invoice, or by authorizing Elite Expeditions to begin work, Client acknowledges that Client has read, understood, and agreed to this Agreement.
Governing Law
This Agreement shall be governed by and construed in accordance with the laws of Pennsylvania, USA, without regard to conflict of law principle.
Severability
If any provision of this Agreement is found unenforceable, the remaining provisions shall remain in full force and effect.
Entire Agreement
This Agreement constitutes the entire understanding between Client and Elite Expeditions regarding the services described and supersedes all prior discussions or understanding, whether written or oral.
